This policy explains how Glaxme Ltd, trading as Glaxme Training ("we", "us"), collects and uses personal data when you visit glaxmetraining.com, contact us or take part in our workshops.
1. Who we are
Glaxme Ltd is a company registered in England and Wales, company number 17527408, registered office 128 City Road, London, EC1V 2NX. We are the data controller for the personal data described here. Contact us at info@glaxmetraining.com or on 020 3916 5138.
2. What we collect
- Enquiry details you give us: name, company, work email, phone number, team size, preferred contact method and your message.
- Booking and delivery details: names, job titles and work emails of the people attending a workshop.
- Coaching notes from 1-2-1 follow-ups and pipeline reviews, which may include business information about your opportunities.
- Session notes from workshops, follow-ups and pipeline reviews. We use an AI note-taking tool, which transcribes the session to produce these notes. We tell everyone at the start of the session, and anyone can ask us to switch it off.
- Website data collected through cookies, as set out in our cookie policy.
3. How we use it and our lawful basis
- To reply to your enquiry and send a proposal: our legitimate interests, or steps taken at your request before a contract.
- To deliver workshops, follow-ups and pipeline reviews: performance of our contract with your organisation.
- To transcribe sessions and produce and share session notes: our legitimate interests in delivering accurate notes and useful follow-up. You can object at any time, including during a session, and we will stop using the note-taker.
- To send occasional updates about our workshops to business contacts: our legitimate interests. You can opt out at any time.
- To keep financial records: our legal obligations.
4. Who we share it with
We never sell your data. We share it only with providers who help us run the business, such as website hosting and our contact form (Netlify), email, video conferencing and our AI note-taking provider, under contracts that protect it. If any provider stores data outside the UK, we make sure appropriate safeguards are in place.
5. How long we keep it
- Enquiries that do not lead to a booking: 24 months.
- Client and booking records: 6 years after the end of the financial year, as required for tax purposes.
- Audio and full transcripts: deleted within 30 days, once the session notes are finalised. Session notes: 12 months after the session, unless your organisation asks us to delete them sooner. We do not allow our note-taking provider to use session content to train its AI models.
6. Your rights
You can ask to see, correct or delete your data, restrict or object to how we use it, receive a copy in a portable format, and withdraw consent. Email info@glaxmetraining.com and we will reply within one month. You can also complain to the Information Commissioner's Office at ico.org.uk.
7. Changes to this policy
We will post any changes on this page and update the date at the top.
